Individual contact marking with a label
You can label an individual contact in the details of each contact. First click on the selected contact, in the left part you will see the Labels box (1). Click on the drop-down box (2) next to the label to display the label menu (3). Click on the selected label to select it to label the contact, and one contact can have several labels at the same time. You can remove a label by clicking on the cross next to the label (4).
To create a completely new label, click on the “+” icon (5). The label created in this way is then saved directly to the contact.
We recommend, if possible, to label the contact directly when entering the contact into the database.
When you click on the label icon, the icon will be colored. This indicates that you have added the tag to your “favorites”. You can remove it by clicking on the icon again (the label will be discoloured). Popular labels are then used mainly in the Contacts module.
Contact marked with a label
In the details of each contact you can see which labels the contact is marked with (1). Likewise in the Labels column in the contact list (2). For the favourite labels (3) that appear in the top bar, you can also see how many contacts they contain.
Bulk marking of contacts with labels
If you wish to label multiple contacts at the same time, you can use the “Bulk Label” function. First, select the contacts you want to label. For example, you can filter the contacts according to the required parameters or manually label the contacts (1). Then click on the top control bar on the “Add” label (2). This will open the bulk marking dialog box (3). Use the arrow or search to select the label you want to use for your contacts.
Next, you can click Advanced (4).
A dialog box will open, in the right part of which you will find a help for the graphical resolution of the marked labels (5). On the left you will find your structure including the contained labels (6).
Here you check (7) the labels you wish to use for all selected contacts. Those that are already marked with this label will remain marked. To check a box, click on the label.
Blank fields (8) indicate labels that will not be applied to any of the selected contacts. For contacts that are already labelled with this label, the label will be removed. If you want to unlabel all selected contacts, click on the label and leave the field blank.
Fields that are coloured (9) indicate that some of the contacts are marked with this label. If you leave the field coloured, the label remains unchanged (the label is not added or removed anywhere). Click on the label to change this to one of the two previous options.
When you have finished setting up the change, click Save (10).
Label on the borrowed contact
If a colleague lends you contact (1) (the contact is marked with a briefcase icon in the database), the labels with which the contact is marked will be transferred from the owner of the contact together with contact (2).
In the Labels tab, these labels from borrowed contacts are then displayed in the Shared labels folder and the subfolder containing the label owner’s name, but it is no longer possible to edit or delete these labels. Once the contact has been returned, the label with which it was tagged by the contact owner will no longer be displayed.
If you label a borrowed contact with your own label, this label will also appear on the contact when it is returned to the owner. You can keep the label you have saved for the contact or remove it.
Label for a shared contact
If a colleague shares a contact with you (the contact is marked with a sharing icon (1) in the database), the labels with which the contact is marked will be transferred from the contact owner together with the contact (2).
In the Labels tab, these labels from shared contacts are then displayed in the Shared Labels folder and the subfolder containing the label owner’s name (3), but these labels can no longer be edited or deleted. Once a contact has been unshared, the label that the contact has been tagged with by the contact owner will no longer be displayed.
When you tag a shared contact with a custom tag, that tag will also be displayed for the owner of the contact and any other users to whom the contact has also been shared, for as long as the contact has been shared and after the sharing has been undone. Any user who has the right to edit a contact can remove this label.
If a colleague shares multiple contacts with you at the same time, a temporary label called “Shared from …..” will be created in your Shared Labels folder (subfolder with the colleague’s name).
If this label becomes empty, it is deleted (the check is done once a day).
If a colleague shares only 1 contact with you, the recipient will receive a notification via the mobile app “New shared contact: ….”. core/paragraph In this case, an automatic label is not created.
